The platform offers multiple invitation channels, each suited to a different relationship type and customer profile. This section gives you a clear decision framework for choosing the right channel and walks through the mechanics of each.
Key Content
There are four main invitation methods available to you: Outlook/email, the unique event URL shared directly, the platform's "Invite Friend" bulk invite tool, and social channels (LinkedIn and X). The right choice depends on the nature of your relationship with each customer.
The recommended primary method is Outlook or email, where you send a personalized email to each invitee with the unique workshop URL. The platform provides email templates as a starting point, but you should always personalize the opening and the rationale for why this specific customer should attend. This method is best for established customer relationships and high-value prospects, because it allows you to create a customized invite for each individual and makes it easier for them to respond directly to you.
A close cousin to email is direct URL sharing — the same unique URL can be shared individually via Webex, SMS, or other direct messaging channels. The URL takes the invitee to the event registration page where they can sign up.
When you have a larger list of invitees and a generic message will suffice, the platform's "Invite Friend" bulk invite tool can be used. You'll find the "Invite Friend" button on the event page, which opens a popup window. You enter the invitee names in the first box (one per line), the matching email addresses in the second box (one per line), then scroll down to add a custom message and click Invite to send. This is best suited for marketing-led promotions or partner co-marketing scenarios.
For social channels, LinkedIn is an excellent option for net-new prospects you don't have an email address for yet. You can share the event on your feed via the LinkedIn icon under the event description, which opens LinkedIn in a new tab with a popup window pre-filled with the workshop details. From there, you can use the dropdown next to your profile picture to control the post visibility — restricting, focusing, or opening up who can see the post — and click Done to save those settings before posting. You can also message LinkedIn contacts directly with the event URL for a more personal touch.
X (formerly Twitter) is also available via the X Post button near the top right of the event page; clicking it opens X in a new tab with the post pre-filled, and you simply click Post to share. X offers the broadest reach but the lowest conversion rate, so it's best used as a supplementary channel rather than your primary one.
It's also worth knowing what your invitees will experience. After they receive your invitation, they'll click through to the event page, select "Register (Individual)," fill out the registration information, and receive an activation email confirming their place.
Across all these methods, personalized outreach consistently outperforms broadcast methods. The highest-converting invitations reference a recent customer conversation or a specific business priority, position the workshop as a hands-on way to explore the solution, and include a clear call to action to register.
Once invitations are out, use the platform to track who has registered in real-time and follow up personally with high-priority invitees who have not yet registered, ideally 5–7 days before the event. This second-touch follow-up often converts your most valuable invitees who simply got busy after the first email.
